How did you find my conference?

Accepted Answer

From publicly available sources: your event website, conference indexes, society or university pages, and other public listings. We don't scrape gated or private content. The organizer's contact email comes from the same public sources (e.g. a "Contact" page on the event site).

This is the same way Google indexes your event — except we go further by writing a polished page and putting it in front of an audience that's actively looking.

I never agreed to be listed — is this legitimate?

Yes — public conference listings are standard practice (Google indexes your event site; services like 10times, WikiCFP, and ConferenceIndex list events the same way). The difference is we add events that look genuinely useful, and we *invite* the organizer to claim the page so **you** control it going forward.

Can I remove my event entirely?

Is the listing free?

- **Eventbrite / Lu.ma** are ticketing platforms first; discovery is a side feature, and they add a buyer-side service fee that hurts conversion.
- **10times / WikiCFP** are large directories with little curation — anyone can post, quality varies a lot.
- **Conference Flow** is editorially curated. Hand-picked events, proper SEO-friendly pages, **no buyer-side fees** on our checkout, and an audience that's specifically here to find conferences.

How do I prove I'm the real organizer?

Easiest path: click the **Claim** link in the email we sent to the organizer address listed publicly on your event site. That email confirms ownership instantly.

No email? Sign up at [/auth](/auth) using an address on the **same domain** as your event website (e.g. `you@your-conference.org`) — same-domain claims are reviewed within one business day. For generic addresses (gmail etc.) we may ask for one piece of proof: a screenshot from your event CMS, a tweet from the official handle, or a quick note on letterhead.

I claimed it but it says "pending" — what happens next?

Accepted Answer

A real human reviews every claim — usually within **one business day**, often within hours during weekdays. You'll get an email the moment it's approved. While pending, the public page is unchanged; your edits go live as soon as approval comes through.

Multiple people from my team want to manage the event — how?

After claiming, go to your event dashboard → **Team** and invite teammates by email. Each gets their own login. **No per-seat fee.** Useful for splitting CFP review, ticket support, and on-day check-in.

Someone else claimed my event by mistake — how do I dispute?

Use the **Dispute claim** link at the bottom of any event page, or email **hello@conference-flow.com** from an address on your event domain. We investigate within one business day and reassign ownership to the rightful organizer. The current claimant is always notified and given a chance to respond.

When do I get paid?

**Straight to your Stripe account, on Stripe's payout schedule** — usually daily or weekly depending on your country. Conference Flow **never holds your money**. Stripe sends it directly to you and we just take our 5% + $1.29 platform fee per transaction.

What currencies do you support?

All currencies Stripe supports for your country (135+). You set the price in your local currency; attendees see prices auto-converted to their currency for clarity, but the charge happens in yours — clean accounting, fewer FX surprises.

Do you handle taxes / VAT / refunds?

Accepted Answer

**Tax**: you're the merchant of record, so you collect and remit any VAT/sales tax that applies. You can set tax inclusive or exclusive pricing per ticket type, and we provide a CSV export for accounting.

**Refunds**: issue them yourself from the order page — full or partial. On a **full refund** our 5% + $1.29 platform fee is refunded too; you only lose Stripe's processing fee (which Stripe doesn't return). On partial refunds, our fee is refunded proportionally. Compare that with platforms that keep the platform fee no matter what.

Can I keep selling on my existing platform AND list here?

Yes — and we encourage it as a low-risk way to test us. Two ways:

2. **Side-by-side**: list one ticket tier (e.g. early-bird) on Conference Flow alongside Eventbrite. Compare conversion. Most organizers move everything over after one event.

Whatever your Stripe account supports — typically Visa, Mastercard, Amex, Apple Pay, Google Pay, plus regional methods (SEPA, iDEAL, Bancontact, Klarna, etc.) where available. Toggle methods on/off in Stripe. More methods = higher conversion, especially for international audiences.

Can I get featured in your newsletter?

Yes — two paths:

- **Organic**: the editorial team picks events for the weekly digest. Free. Best chance: claim your event and complete the page.
- **Paid feature slot**: bookable from your dashboard once claimed.

The newsletter goes to a self-selected audience of researchers and professionals who explicitly opted in to hear about conferences — which is why placement converts.

How does the audience targeting work?

Accepted Answer

Promotions are matched on **topic** (e.g. machine-learning attendees see ML conferences) and **country** (regional events surface to nearby audiences first). We **don't do invasive behavioural tracking** — targeting is based on the page someone is browsing, not a personal profile. That's why it converts: high intent, no creep factor.

I claimed my event — how do I fix wrong info, dates or venue?

Sign in, open your event from the dashboard, click **Edit**. Every field is editable: title, dates, venue, city, country, description, agenda, speakers, sponsors, links, images. Changes go live immediately — no review queue for routine edits.

I want to add a Call for Papers — how?

From the event dashboard go to **CFP** and fill in the deadline, submission types, and instructions. Your CFP appears on your event page **and** gets included in our [/cfp](/cfp) directory and weekly digest — extra distribution at no cost. You can also enable email reminders to attendees who follow the event.

Can I add my logo, sponsors, agenda and speakers?

Yes — all of it. The page supports a cover image + logo, a structured agenda (sessions/tracks/times), a speaker grid, and a sponsor block. Add them from the **Edit** screen. None are required — the page works fine with just title, date and description — but a complete page dramatically improves Editor's-pick odds and conversion.

The cover image is wrong — how do I change it?

Go to **Edit** → **Images** → upload a new cover image (recommended 1600×900 JPG or PNG, under 5 MB). The new image replaces the old one immediately on the public page. A strong cover image meaningfully lifts click-through from directory pages.

How do I delete my account or unlist completely?

Email **hello@conference-flow.com** from the address on your account and we'll delete your account, all your events, and any personal data within 7 days (often same day). No exit fees, no friction. GDPR — am I a data controller or processor?

For your **event listing**, Conference Flow is the controller (we decide what to publish). For **ticket sales**, you are the controller of attendee data and Conference Flow + Stripe are processors. We have a standard DPA available on request — email **hello@conference-flow.com**.

Yes — and it's one of the most underrated reasons to claim. After claiming, the dashboard shows **page views**, **unique visitors**, **follower count over time**, **ticket-page conversion**, and (if you sell with us) **full sales analytics**. Data is aggregated and respects visitor privacy — no creepy individual-level tracking.
